Front Desk Coordinator

 

Description: The Front Desk Coordinator is the first staff contact a visitor or caller has with Outsource Consultants. This contact has significant impact upon the impression others have of the professionalism and efficiency of the office. It is necessary that the front desk coordinator is aware of staff presence, assignments, and conveys to visitors and callers that service is an important product of the organization.

Duties and responsibilities include, but are not limited to:

  • Greet and assist visitors upon arrival at the office.
  • Operate multi-line telephone system and use knowledge of the organization, staff, and departmental functions to route calls to the appropriate staff member.
  • Take accurate messages and notify partners via email of their missed calls.
  • Utilize good judgment to determine when to expedite the delivery of important messages.
  • Distribute and log incoming messenger/overnight deliveries.
  • Manage all external and internal messenger requests via OPTS as well as track messengers when needed.
  • Receive and sort mail and deliveries daily.
  • Receive and sort mail and deliveries daily.
  • Maintain all office, pantry, and overnight mail supplies.
  • Send out daily attendance notifications to the office.
  • Create overnight air bills (FedEx Ship).
  • Responsible for the maintenance/inventory/order of office and pantry supplies.
  • Apply metered postage to ALL outgoing mail and drop off mail daily.
  • Maintain corporate contact list in OPTS.
  • Maintain in bound package/drawing log.
  • As a non-exempt employee the front desk coordinator is responsible completing timesheets on a weekly basis.
  • Assist with clerical duties as needed, i.e. filing, transmittals, etc.

Required Skills & Experience:

  • High school diploma or equivalent.
  • 2+ years of front desk experience.
  • Excellent written and verbal communications skills.
  • Attention to detail and follow-up.
  • Proficient with MS Office.
  • Teamwork and strong inter-personal skills.
  • Hands-on, can-do attitude.
  • Comfortable in a fast-paced environment.

Successful candidates must be self motivated (punctual), able to work well in an entrepreneurial environment and be a team player.
